Part of our How to book your Edinburgh Airport transfer guide
Quick answer
When you book an airport transfer, give your flight number, the date and landing time, the number of passengers, how many large and small bags you have, any child seats needed, the full pickup or drop-off address with postcode, and a mobile number that works abroad. These seven details let us send the right car and track your flight.

The 7 details to give when you book
| Detail | Why it matters |
|---|---|
| Flight number | Your driver tracks the flight and moves the pickup if it lands early or late |
| Date and landing time | Confirms the booking matches your flight (watch out for flights landing after midnight) |
| Number of passengers | Decides the vehicle: saloon, estate, people carrier or minibus |
| Luggage | Large cases, cabin bags, skis, golf bags or a pram all need space |
| Child seats | Free on request, but we need children's ages to fit the right seat |
| Full address and postcode | For hotels, include the hotel name; for flats, the entrance or buzzer |
| Mobile number | Your driver messages you on WhatsApp when you land |
1. Your flight number
This is the most useful detail of all. With it, your driver follows the flight and adjusts the pickup time without you needing to call. If you are being collected for a departure instead, give the flight time so we can plan when to pick you up.
2. The right date
A common mistake: a flight that lands at 00:30 on the 15th needs a booking for the 15th, not the evening of the 14th. Check the landing date on your ticket, not the departure date.
3. Passengers and luggage
Tell us the total number of people, including children and babies, and roughly how much luggage: large suitcases, cabin bags and anything bulky. Skis, snowboards, golf bags, bikes and prams take up a lot of room, so mention them when you book and we will send a car that fits everything. Read how to choose a car for skis, golf bags and prams.
4. Child seats
Child seats are free on request. Give each child's age (and for small children, roughly their weight) so the driver brings the right type of seat.
5. The full address
Give the house number, street and postcode. For hotels, add the hotel name, as some share a postcode with neighbouring buildings. For flats or student halls, tell us which entrance to use.
6. A number that works abroad
Your driver will message you on WhatsApp when your flight lands and when they are waiting. Make sure the number you give works on roaming, and save our number before you fly: +44 7463 212661.
7. Anything else
Extra stops on the way, a name board greeting for a guest, water or Wi-Fi on board: just ask when you book. Extra stops may change the price, and we agree any change with you first.
What happens next
We reply to every booking and message within 8 hours at the latest, usually much sooner, and confirm the details in writing. We need at least 24 hours' notice for a pickup. On the day, your driver messages you with their ETA. Read our full guide to booking an Edinburgh Airport transfer.
