How to book your Edinburgh Airport transfer: the complete guide

When to book

We need at least 24 hours' notice for every pickup, day or night. That is the minimum, not the ideal. Pre-booked cars fill up first at the busiest times of year, so the earlier you book, the more choice you have over vehicle and pickup time.

The busiest periods in Edinburgh are:

• August, when the Edinburgh Festival Fringe and the International Festival fill the city.
• Late November to early January, with Edinburgh's Christmas markets, school holidays and Hogmanay.
• Early September and January, when students arrive for term at St Andrews, Dundee, Stirling and Edinburgh.
• Weekends in the ski season, with early Saturday and Sunday departures to the Alps.

For these dates, book as soon as your flights are confirmed. Book your return at the same time and you save 10%.

The details to give when you book

Seven details let us send the right car to the right place at the right time: your flight number, the landing date and time, the number of passengers, your luggage (including anything bulky such as skis, golf bags or a pram), any child seats with the children's ages, the full address with postcode, and a mobile number that works abroad.

The flight number matters most. With it, your driver follows the flight and moves the pickup if it lands early or late, so you never need to call to say you are delayed. The most common booking mistake is the date of a flight that lands just after midnight: book for the day it lands.

Ways to book

You can book in whichever way suits you:

• Online: use the price box on our website to see the fixed price for your journey, then book.
• WhatsApp: send us your journey details on +44 7463 212661. Our WhatsApp buttons fill in a message with the questions we need answered.
• Phone: call the same number.
• Email: rporttransfer@mail.com.

You can pay by card online when you book, by card in the car or in cash, and invoices are available on request.

Booking for a parent, a student, a wedding guest or a client? You can book and pay for someone else, and we can keep both of you updated.

What happens after you book

We reply to every booking and message within 8 hours at the latest, and usually much sooner. Your booking is confirmed in writing with the price, pickup time and vehicle. Check the confirmation carefully: we are not responsible for extra costs caused by incorrect details.

On the day, your driver tracks your flight and messages you on WhatsApp when you land, with their location in the arrivals hall. If they are held up on the way to a home or hotel pickup, they call you with a new arrival time.

Changes and cancellations

Plans change. Tell us as soon as you can, and we will move your booking where possible. Changes after confirmation, such as a new route, an extra stop or a bigger vehicle, may change the price; we always agree that with you first.

Our cancellation terms are simple:

• More than 24 hours before pickup: full refund.
• Less than 24 hours before pickup: refunds may be limited or unavailable.
• No-shows: not refunded.

Refunds go back to the original payment method. If your flight is cancelled or diverted, message us straight away.

Knowing the price before you book

Every RTransfer journey has a fixed price agreed before you travel. Edinburgh Airport to the city centre is £48 in a saloon, and Edinburgh Airport to Glasgow is £98. For other destinations we send one fixed quote. Free waiting, flight tracking and meet and greet are included.
